Redolence Decor (“Redolence Decor”, “we”, “us”, or “our”) operates the website https://redolencedecor.com/ (the “Website”) and provides wedding planning, event décor and styling, venue and destination selection, catering coordination, photography and films, and related event services (collectively, the “Services”).

We understand that planning a wedding or a milestone celebration means sharing personal, and sometimes sensitive, details with us. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and the choices and rights available to you.

This Policy is published in accordance with the Information Technology Act, 2000 and the rules made thereunder (including the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011), and the Digital Personal Data Protection Act, 2023 (“DPDP Act”), as applicable.

By using the Website, submitting an enquiry, or engaging our Services, you acknowledge that you have read and understood this Privacy Policy.

For the purposes of the DPDP Act, Redolence Decor acts as the Data Fiduciary in respect of the personal data described in this Policy.

3. Scope of This Policy

This Policy applies to personal data collected:

• through the Website, including contact forms, enquiry forms, and newsletter or callback requests;
• through direct communication channels such as email, telephone calls, WhatsApp, and messages sent via our social media profiles (Facebook, Instagram);
• during in-person or virtual consultations, site visits, venue recces, tastings, and event execution; and
• in the course of performing a booked event or contract.

This Policy does not apply to the practices of third parties we do not own or control, including venues, hotels, independent vendors, payment gateways, and social media platforms. Their handling of your data is governed by their own privacy policies.

4. Information We Collect

4.1 Information You Provide to Us

Identity and contact details: name, name of the bride/groom or celebrant, email address, mobile or landline number, WhatsApp number, postal or billing address, and social media handle where you contact us through those platforms.

Event details: type of event (wedding, sangeet, mehndi, reception, engagement, birthday, corporate function, etc.), preferred and confirmed event dates, city or destination, venue name and address, expected guest count, indicative budget range, theme and design preferences, colour palettes, inspiration images and mood boards, ceremony and ritual requirements, timelines, and run-of-show details.

Guest and vendor information: where you share it with us for coordination purposes, this may include guest names, seating and room allocation, arrival and travel details, contact numbers of family members or a designated coordinator, and details of vendors you have separately engaged.

Catering-related information: menu preferences, cuisine choices, dietary restrictions, allergies, and religious or cultural dietary requirements. Some of this may constitute health-related information, which we treat as sensitive and use strictly for menu planning and guest safety.

Payment and billing information: billing name and address, GSTIN (if applicable), invoice details, transaction reference numbers, and payment confirmation records. We do not collect or store your full card numbers, CVV, UPI PIN, or net-banking credentials. Payments made through a payment gateway or bank transfer are processed directly by the relevant bank or payment service provider.

Media and content: photographs, videos, and reference material you send us; testimonials, reviews, and feedback you provide.

Any other information you voluntarily share with us in correspondence.

4.2 Information Collected Automatically

When you visit the Website, we and our analytics providers may automatically collect:

Our Website is built on WordPress and uses Elementor, and we use Google Tag Manager to deploy analytics and marketing tags. See Section 6 (Cookies and Tracking Technologies).

• social media platforms, when you message, comment, or interact with our Facebook or Instagram pages;
• referrals, where an existing client, venue, or vendor introduces you to us;
• venues, hotels, and vendor partners, in connection with a booking you have made; and
• publicly available sources, such as a company website in the case of a corporate enquiry.

4.4 Children’s Data

Our Services are directed at adults. We do not knowingly collect personal data directly from children under 18 years of age. We may, however, receive information about children (for example, a child’s name, age, or dietary requirement) from a parent or guardian for event planning purposes — such data is provided by and processed on the instruction of the parent or lawful guardian. We do not undertake tracking, behavioural monitoring, or targeted advertising directed at children. If you believe a child has provided us personal data directly, please contact us and we will delete it.

5. How and Why We Use Your Information

We use personal data for the following purposes:

5.1 Basis for Processing

We process personal data on the basis of:

• your consent, which you provide when you submit an enquiry form, opt in to marketing communications, or otherwise voluntarily share information with us for a specified purpose;
• performance of a contract, where processing is necessary to plan and execute your event;
• certain legitimate uses permitted under the DPDP Act, including where you have voluntarily provided data for a specified purpose and have not indicated an objection; and
• compliance with law, including retention of financial records.

You may withdraw your consent at any time (see Section 10). Withdrawal does not affect the lawfulness of processing carried out before withdrawal, and may limit our ability to deliver the Services.

6. Cookies and Tracking Technologies

Cookies are small text files placed on your device. We use:

• Strictly necessary cookies — required for the Website and WordPress/Elementor functionality, form submission, and security.
• Preference cookies — remember settings such as language or previously entered form details.
• Analytics cookies — deployed via Google Tag Manager (container ID GTM-5HV4J4NK) and associated analytics tools, to understand aggregate visitor behaviour and traffic sources.

7. How We Share Your Information

We do not sell or rent your personal data. We share it only as described below:

Vendors and service partners engaged for your event — venues, hotels, caterers, florists, decorators, lighting and sound teams, mandap and stage fabricators, photographers and cinematographers, makeup artists, transport providers, and other suppliers. We share only what is necessary for execution (for example, guest count and dietary requirements with a caterer, or venue access details with an installation crew).

Business service providers — website hosting, IT support and maintenance, cloud storage, email and communication platforms, analytics providers, accounting and tax professionals, and payment gateways or banks.

Group entities, employees, and contract staff — on a need-to-know basis, bound by confidentiality obligations.

Legal and regulatory disclosures — where required by applicable law, court order, or a lawful request from a government authority, or to enforce our Terms and Conditions, protect our rights, or prevent fraud or harm.

Business transfer — in the event of a merger, acquisition, restructuring, or sale of assets, personal data may be transferred to the successor entity, subject to this Policy.

We require our vendors and service providers to protect the data we share and to use it only for the purposes for which it was shared.

8. Event Photography, Films, and Portfolio Use

Because our work is visual, this deserves its own section.

• Photographs and videos of décor setups, floral installations, venues, table settings, and event environments we design may be used in our gallery, website, brochures, proposals, social media, and advertising.
• Where images identify you, your family, or your guests, we will seek your consent before publishing them. Consent may be recorded in your service agreement or booking form.
• You may request that specific images be withheld or removed from public use at any time by writing to connect@redolencedecor.com. We will honour such requests for material within our control, though we may be unable to recall content already reproduced, reshared, or downloaded by third parties.
• If you engage an independent photographer or videographer, ownership and usage of that content are governed by your agreement with them, not by us.
• Where images are supplied to us by you or by a photographer, you confirm you have the rights and consents necessary for us to use them as described above.
• Guests attending an event may be photographed as part of general event coverage. We encourage clients to inform guests where photography or filming will take place.

9. Data Retention

We retain personal data only for as long as necessary for the purpose for which it was collected:

• Enquiries that do not convert: typically retained for up to 24 months, so we can respond if you return to us, after which they are deleted or anonymised.
• Client and event records: retained for the duration of the engagement and for a reasonable period thereafter for reference, warranty, and dispute resolution.
• Financial, invoicing, and tax records: retained for the period required under applicable Indian tax and company law (generally 8 years).
• Marketing contacts: retained until you unsubscribe or withdraw consent.
• Portfolio images: may be retained indefinitely, subject to Section 8.

Once retention is no longer required or you validly withdraw consent, we will erase the data or render it non-identifiable, except where retention is mandated by law.

10. Your Rights

Subject to applicable law, and in particular the DPDP Act, you have the right to:

• Access — obtain a summary of the personal data we hold about you and the processing activities undertaken.
• Correction and updating — have inaccurate or incomplete data corrected or completed.
• Erasure — request deletion of personal data that is no longer necessary for the purpose for which it was collected, unless retention is required by law.
• Withdraw consent — withdraw consent previously given, at any time and with the same ease with which it was given.
• Grievance redressal — raise a complaint with us in the first instance (see Section 14) and, if unresolved, approach the Data Protection Board of India.
• Nominate — nominate another individual to exercise your rights in the event of your death or incapacity.
• Opt out of marketing — unsubscribe from promotional emails using the link in the email, or reply “STOP” to promotional WhatsApp or SMS messages.

Please note that you are expected to provide accurate information and not to impersonate another person or file frivolous or false complaints, as required under the DPDP Act.

11. Data Security

We implement reasonable security practices and procedures proportionate to the nature of the data we hold, including:

• SSL/TLS encryption for data transmitted through the Website;
• access controls limiting internal access to a need-to-know basis;
• password protection and periodic review of user accounts;
• secure hosting and regular software, plugin, and theme updates;
• confidentiality obligations for employees, freelancers, and vendor partners; and
• restricted storage of payment-related information (we do not store full card or banking credentials).

However, no method of transmission over the internet or electronic storage is completely secure. While we take reasonable steps to protect your data, we cannot guarantee absolute security, and any transmission is at your own risk. If a personal data breach occurs, we will notify affected individuals and the Data Protection Board of India as required under applicable law.

The Website contains links to third-party websites and platforms, including Facebook, Instagram, WhatsApp, venue and hotel websites, and our web developer’s site. Clicking these links takes you outside our control. We are not responsible for the content, security, or privacy practices of those third parties, and we encourage you to review their privacy policies before sharing information with them.

13. Cross-Border Transfers

We are based in India and primarily process data in India. However, certain service providers we use (for example, cloud hosting, email, analytics, and social media platforms) may store or process data on servers located outside India. Where personal data is transferred outside India, we take reasonable steps to ensure it is subject to appropriate safeguards and that such transfer is permissible under applicable Indian law, including any restrictions notified by the Central Government under the DPDP Act.

For destination weddings, event data may also be shared with venues and vendors located in the destination country for the purpose of executing your event.

We will acknowledge complaints within 48 hours and endeavour to resolve them within 30 days of receipt.
